Netsuite has a simple licensing structure, but its execution can lead to some conflicts and problems if not monitored effectively.

Netsuite has a very clear license structure, focused on users who utilize the application extensively and those who could be considered 'non core'. These non core users are priced lower than the main users as would be expected.


License Documents

To give the non-core users access they are given the Employee Center Role, this role grants users the ability to a number of activities. These activities include viewing their W-4, Paycheck history, Personal Profile, enter and view their Expense reports, Purchase requests and work with tasks such as phone calls.

This role is restricted from much of the enter, edit, and approval actions on transactions that come with a core user account.

As an organization you need to work within these parameters, and the line can become a problem when users need more access than what the Employee Center role requires. Often the need for a user to access more can be temporary, or perceived as temporary.

The license Conflict

There is a need to review not only the Employee Center users, but also those who have full access. Do those with full access need that access? Could their needs be accomplished with the lower Role (and lower cost license)? What about users who have temporary or periodic access? Could these needs be satisfied by having another user or users conduct that work?

The problems with this license structure is that it is easy to find yourself in a situation where you expect your license to be a certain count, only to find that through security, user's access has been elevated and the license cost goes up.

the second issue of course, is that now we have users who may have elevated access and segregation of duty problems that are completely unexpected.
